The American Conference on Psychiatric Disorders will provide practical insights into
the diagnostic and therapeutic management of anxiety disorders, depression, and schizophrenia. With an emphasis on evidence-based medicine, this national meeting will provide a rich learning environment for psychiatrists and primary care physicians alike, creating an open exchange of knowledge. This conference offers unique insights for psychiatrists and primary care physicians, and will provide an opportunity for both groups to come together during plenary sessions and exhibitor hours.
 
Exhibit Details
Exhibitor Eligibility
All products and services on exhibit must be directly related to the conduct of science and medicine and must be pre-approved by the Institute. The Institute reserves the right to determine the eligibility of any proposed exhibit.
 
Exhibit Booth Assignment and Payment
Exhibit space will be assigned on a first-come, first-served basis. Full payment and a signed application are required to reserve booth space. If payment does not accompany application, an invoice for the amount owed will be sent to the listed contact immediately. Space will not be assigned until payment has been made to the Institute.

*Booths are 10' x 10'. Exhibitors may select any of the booths as they appear on the floor plan. Please note that booth choices are not guaranteed.

Exhibit Staff Registration
Three (3) complimentary Exhibitor badges will be provided with each 10' x 10' booth. There will be a $50 surcharge for each additional exhibitor badge requested.

Please call (800) 843-4898 and reference the American Conference on Psychiatric Disorders when making reservations. The last day to make a reservation at the discounted rate is August 15, 2007.

Shipping Information
All shipments for the Conference may arrive at the Marriott on or after September 5, 2007. Shipments arriving earlier than September 5, 2007, will not be accepted.

Installation & Dismantling
Installation
Exhibitors may begin installation at 2:00 PM on Friday, September 7, 2007. Exhibits must be set up with all aisles cleared by 4:45 PM, before the Welcome Reception. Any installation not within the above hours must be preapproved by Linsey Birghall, Conference Manager.
 
Dismantling
The exhibit hall will close at 5:00 PM on Saturday, September 8, 2007. You may dismantle the exhibit at that time. Breakdown must be completed by 5:30 PM.

Terms and Conditions
1. PROCESS: These rules and regulations have been established for the mutual benefit of Exhibitors, visitors, the Institute, and the Facility. These rules and regulations are subject to change, with or without notice. Schedules for moving in, exhibiting, and moving out will be specified in the Exhibitor Confirmation and will be provided to each Exhibitor prior to the Conference.

2. DEFINITIONS: In this agreement, “Conference” refers to the Institute of Applied Science & Medicine’s American Conference on Psychiatric Disorders; “the Institute” refers to the Institute of Applied Science & Medicine; “Exhibitor” refers to the applicant for exhibit space; “Facility” refers to the Marriott Marquis Times Square.

3. ELIGIBILITY: This exhibition is intended for the display and demonstration of products, information, and services relating to the advancement of the art and science of Psychiatric Disorders and the professional education of those individuals attending the Institute’s 2007 annual meeting.

4. LIABILITY & INDEMNIFICATION: In the event that the Exhibitor’s application is approved, the Exhibitor agrees to indemnify, save, protect, and hold harmless the Institute and the Facility, their respective employees, agenda, representatives, officers, boards of directors, successors and assignees from any and all claims, liabilities, injuries, demands, obligations, costs (including attorney’s fees), expenses, damages, consequential or otherwise, suits, violations of city, state, country, or federal ordinances, regulations, statutes or rules, and causes of action, of any kind or nature whatsoever, whether known or unknown, that may now exist or that may exist in the future as the result of Exhibitor’s occupancy, rental, or use of any part of the Facility or storage of materials in the Facility, whether caused by the direct negligence, gross negligence, or willful misconduct of Exhibitor or anyone acting on behalf of the Exhibitor. Further, Exhibitor agrees to indemnify, save, protect, and hold harmless the Institute and the Facility, their damages, claims, suits, or causes of action for bodily injury or injuries sustained by anyone, including employees, representatives, agents, or anyone acting on behalf of Exhibitor, that may arise as the result of Exhibitor’s occupancy, rental, or use of any part of the Facility, or storage of materials in the Facility, whether caused by the direct negligence, gross negligence, or willful misconduct of Exhibitor or anyone acting on behalf of the Exhibitor.

5. CANCELLATION:
Rental fees and deposits will be refunded in full if Exhibitor’s application is not accepted. Space assignments may be relinquished without charge up to July 5, 2007. If space is cancelled for any reason between July 6, 2007, and August 6, 2007, then the Institute shall retain or collect 50% of the rental fee. There can be no cancellation of space or refund of payment after August 6, 2007. The Institute reserves the right to cancel any rental arrangement with any Exhibitor at any time prior to or during the Conference. In the event that the Conference is cancelled because of circumstances beyond the control of the Institute, rental fees and deposits shall be returned on a pro rata basis after payment of all expenses and costs incurred by the Institute, plus an administrative fee of $50.

6. SERVICES: The standard booth is 10' by 10' and consists of draped side wall. Exhibits shall be arranged so as not to obstruct the general view of other exhibits.
a. The Exhibitors are solely responsible for their own exhibit materials and should insure their exhibit against loss or damage. All property of Exhibitors is understood to remain in their care, custody, and control in transit to or from or within the confines of the exhibit hall.
b. Exhibitors must wear badges for identification. Three (3) name badges per booth will be provided. Each additional Exhibitor badge requested will cost $50 per badge.
c. Exhibitors wishing to attend the symposia or plenary sessions will have to register through standard registration channels as conference attendees.

7. SAFETY PRECAUTIONS: All materials supplied by Exhibitors, including textile or paper displays and decorations, must be flameproof. No combustible decorations, such as crepe or tissue paper, cardboard, or corrugated paper, may be used at any time. All packaging containers and materials are to be stored under tables or behind displays. Equipment powered by combustion engines or motors cannot be operated during meeting hours. Displays are subject to inspection and approval for safety by the New York City Fire Department.

8. PROHIBITED ACTIVITIES: Person, firms, or organizations that have not contracted with the Institute for occupancy of space in the Exhibits Facility will not be permitted to display or demonstrate any products, processes, or services, to solicit orders, or to distribute advertising or other materials without the written consent of the Institute.
a. No Exhibitor may call or invite a visitor out of one exhibit into his/her own. Exhibitors must remain within their own exhibit space in distributing literature, product samples, or other materials; the aisles may not be used for this purpose. Circulars or advertising matter of any description may be used or distributed only within the booth assigned to the Exhibitor presenting such material.
b. Only literature published or approved by the Exhibits Management may be distributed at the registration desk, in the registration area, in meeting rooms, in exposition halls, or in transportation under lease to the Institute.
c. Use of noisemakers and presentations that may be judged in poor taste, lacking in dignity, or not in keeping with the purpose of the exposition is prohibited.
d. The use of cameras in the exhibit area must be approved in writing by the Institute prior to the event.
e. Use of sound motion pictures and tape recorders will be permitted, where appropriate to the display, provided sound is maintained at not more than conversation level. The Institute reserves the right to restrict Exhibitors’ use of sound and other devices that may interfere with the best interest of the Conference as a whole.
f. Only those products and/or services considered by Exhibits Management as relating directly to the practice of medicine may be exhibited at the Institute.
g. Complaints of any violation of rules and regulations are to be made promptly to the Exhibits Management, and Exhibitors and their personnel agree to abide by the decision of Exhibits Management.

9. BOOTH, FURNISHINGS, EQUIPMENT, AND SERVICE: All booths will be uniformly styled and dividers will be provided between booths. With each 10' x 10' booth, an 8' table will be provided, along with a maximum of three (3) chairs and an identification sign. Exhibit displays must not obstruct the view of neighboring booths.

10. FAILURE TO OCCUPY SPACE: Unless the Exhibitor has made a previous arrangement with the Institute, any space not occupied at the convention center at 5:00 PM on Friday, September 7, 2007, shall be forfeited by the exhibitor, and space may be resold, reassigned, or used by the Institute without refund.

11. CONFERENCE PROGRAM: One (1) copy of the program binder will be available to each exhibiting company at the Exhibitors’ registration area.

12. EXHIBIT SPACE FLOOR PLAN:
Every effort will be made to maintain the general configuration of the floor plan for this convention. However, the Institute reserves the right to modify the plan, if necessary, as determined solely by the Institute.

13. OTHER: All matters not covered herein are subject to decision by the Institute. These terms and conditions may be changed at any time by the Institute upon written notice to all Exhibitors. The Exhibitor must agree to be bound by the terms and conditions herein and by any changes adopted by the Institute. This contract shall be interpreted under the laws of the United States and of the State of New York.
